This tour is not suitable for:
pregnant women
children under 2
persons with back, neck or heart problems
persons with serious medical conditions
persons with a history of seizures, dizziness or fainting
persons with limited mobility
The maximum weight limit per person is 300 lbs.
Cancellation and Weather Policy
A non-refundable 20% deposit is required to secure bookings. The deposit must be paid on the same day the booking is made. Your reservation is not confirmed and the date is not secured until the deposit has been received. You will receive a secure payment link via the email address you provide in the booking form. All customizations for the charter are to be entered in the section of the booking form labeled "Comments". All holiday bookings are subject to a mandatory 15% gratuity.
Booking Policy
Terms and Conditions
When you reserve a private charter with Tropic Sea Adventures, the boat and crew are reserved exclusively for your party. Your reservation also prevents us from accepting another booking for that time.
1. Booking Deposit
A 20% deposit of the total charter price is required to secure your reservation. The deposit is non-refundable in the event of a guest cancellation.
The deposit must be paid on the same day the booking is made. Your reservation is not confirmed and the date is not secured until the deposit has been received.
The remaining balance is due 48 hours before your scheduled tour time. A secure payment link for the balance will be provided once the captain has reviewed the weather forecast and determined that conditions are expected to be suitable for the charter.
All payments are made through a secure payment link provided by Tropic Sea Adventures.
Reservations made within 7 days of the tour date require full payment at the time of booking.
2. Guest Cancellations
The 20% booking deposit is non-refundable in the event of a guest cancellation.
For cancellations made 7 days or more before the scheduled tour, Tropic Sea Adventures will retain the non-refundable 20% deposit.
For cancellations made less than 7 days before the scheduled tour, all payments already made are non-refundable.
Same-day cancellations, no-shows, or failure to appear: No refund will be provided.
3. Flight Delays & Cruise Ship Changes
Flight delays, cancelled flights, missed flights, cruise ship itinerary changes, cruise ship delays, transportation problems, hotel issues, or changes to personal travel plans are considered guest cancellations and are subject to this cancellation policy.
4. Weather & Sea Conditions
The safety of our guests and crew is our highest priority.
Tropic Sea Adventures may cancel, postpone, shorten, or modify a charter when the captain determines that weather, sea conditions, marine conditions, government advisories, or other circumstances create an unsafe operating environment.
If Tropic Sea Adventures cancels your charter because conditions are considered unsafe, you may choose:
A refund of payments made to Tropic Sea Adventures, less the applicable 7% non-refundable transaction fee; or
Rescheduling to another available date.
The captain’s decision regarding whether conditions are safe for operation is final.
5. Weather Forecasts
A poor weather forecast alone does not automatically qualify for a cancellation or refund.
If the charter is deemed safe to operate by the captain and the guest chooses not to participate, it will be treated as a guest cancellation, and no refund will be provided.
We encourage guests to contact us before making a last-minute cancellation so that we can discuss the current conditions and available options.
6. Itinerary Changes Due to Weather
Weather and sea conditions may require changes to the planned itinerary.
For example, certain snorkeling locations, beaches, sandbars, swimming-pig locations, turtle encounters, or other destinations may become inaccessible or unsafe.
The captain may substitute activities or locations when reasonably possible.
Changes to individual activities or destinations do not automatically qualify for a refund when the charter is able to operate safely.
7. Rescheduling
Rescheduling may be requested up to 7 days of the scheduled charter date. All rescheduling requests are subject to availability and approval and are not guaranteed.
8. Guest Arrival & Late Departure
Guests are responsible for arriving at the agreed pickup or departure location on time.
Our charter time begins at the scheduled departure time, regardless of whether all guests have arrived.
If guests arrive late, the captain may shorten the itinerary so the charter can return at the originally scheduled end time.
No extension, partial refund, or other refund will be provided for charter time lost because of guest lateness.
9. Guest Conduct & Safety
Tropic Sea Adventures reserves the right to terminate a charter without refund if a guest’s behavior creates a safety risk or places the crew, other guests, vessel, or property at risk.
This includes, but is not limited to, excessive intoxication, aggressive or threatening behavior, failure to follow reasonable safety instructions, illegal activity, intentional harm to any person, or intentional damage to the vessel or equipment.
10. Mechanical or Operational Cancellation
If Tropic Sea Adventures is unable to operate a scheduled charter because of an unexpected mechanical failure or other operational issue within our control, we will make every reasonable effort to provide a comparable alternative or reschedule the charter.
If we are unable to provide the charter or a mutually acceptable alternative, the guest will receive a refund of payments made to Tropic Sea Adventures for the affected charter, less the applicable 7% non-refundable transaction fee.
11. Third-Party Services
Please note that tours include prepayment for third-party activities or services.
These services may have their own cancellation, refund, and rescheduling policies.
Any third-party fees that cannot be recovered by Tropic Sea Adventures will be deducted from any amount otherwise eligible for refund. These third-party fees are separate from, and may be deducted in addition to, the 7% non-refundable transaction fee.
12. Acceptance of Terms
Before completing a booking with Tropic Sea Adventures, guests are required to acknowledge and accept our Terms and Conditions, Booking Policy and Cancellation & Weather Policy.
By completing your booking, you confirm that you have read, understood, and agreed to these policies and terms.
You also acknowledge that this is a private charter reservation and that the boat and crew are being held exclusively for your group.
Non-Refundable Transaction Fee
A 7% non-refundable transaction fee applies whenever monies are refunded to a guest. The fee is calculated on the amount being refunded and will be retained by Tropic Sea Adventures.
This applies to all refunds, whether the cancellation is made by the guest or by Tropic Sea Adventures, including cancellations due to weather, sea conditions, mechanical or operational issues, or other circumstances.
The 7% transaction fee is non-refundable in all cases.
